Privacy in Plain English

  • Your business data belongs to you.
  • Nimos does not sell your customer lists, invoices, accounting records, or business information.
  • We only access customer data when reasonably necessary for support, security, payment processing, fraud prevention, system maintenance, or legal compliance.
  • Payment information is handled securely by our payment providers. Nimos does not store full card numbers or CVC codes.
  • By default, Nimos does not use your business records for product improvement beyond what is necessary to operate the Service.
  • Optional Product Improvement is opt-in only. If you turn it on, Nimos may use general usage patterns and anonymous statistics to improve features and workflows.
  • This does not mean selling your customer database, sharing your invoices publicly, exposing your company’s financial records, or allowing other businesses to see your data.
  • You can turn Optional Product Improvement on or off at any time in Settings → Privacy.

Nimos (“we”, “us”, or “our”) is committed to protecting your privacy. This Policy explains how we collect, use, disclose, and protect your information. It applies to our website, apps, and related services (the “Service”).

1. Information We Collect

Account & Business Info: name, email, company name, industry, billing details, and account settings.

Operational Data: accounting records and business information you enter, upload, or import, such as products, invoices, journal entries, payments, and related business records.

Customer Contact Data Submitted by You: information you choose to enter or import about your customers or contacts, such as names, email addresses, phone numbers, billing details, delivery details, and invoice-related information.

Usage & Device Data: interactions, pages/screens viewed, device information, approximate location, and diagnostic logs.

Payment Data: payment and transaction information processed by Stripe. We do not store full card numbers or CVC codes.

2. How We Use Information

We use your information to operate, maintain, secure, and improve the Service, including bookkeeping features, invoicing, payment-related features, customer support, fraud prevention, account administration, and service communications.

We do not sell your personal data, customer lists, invoices, accounting records, or business information.

Where you submit customer or contact information to the Service, we use that information to provide features you request, such as invoice generation, payment links, customer records, and communications sent at your direction.

3. Customer Personal Data You Submit

You may submit personal data relating to your customers, contacts, or other individuals through the Service (“Customer Personal Data”). Customer Personal Data may include names, email addresses, mobile numbers, billing details, and similar information that you choose to store or use in Nimos.

As between you and Nimos, you control the Customer Personal Data you submit to the Service. You are responsible for ensuring that you have any required rights, consents, notices, and lawful bases needed to collect, use, and share that data with us for the purpose of providing the Service to you.

To the extent applicable under data protection law, you act as the controller or business for Customer Personal Data you submit, and Nimos acts as a processor or service provider in providing the Service.

4. Optional Product Improvement

By default, Nimos does not use your business records for product improvement beyond what is necessary to operate, maintain, secure, and support the Service.

If you choose to turn on Optional Product Improvement in Settings → Privacy, Nimos may use general usage patterns and anonymous statistics to improve features and workflows.

Where reasonably possible, we remove or avoid personally identifiable information before using data for product improvement. You can turn Optional Product Improvement off at any time. Turning it off stops future use; previously created anonymous statistics may remain in anonymous form.

5. Payments and Payment Providers

Payments are currently processed by Stripe and may also be processed by other payment providers we support in the future. When you subscribe, pay, connect a Stripe account, accept customer payments, create Pay Links, receive payouts, or use Stripe Connect features, certain information may be shared with Stripe to process payments, support payouts, calculate fees, prevent fraud, verify identity or business information, comply with legal and regulatory obligations, and provide payment-related services.

This information may include your name, email address, business name, billing details, customer and transaction details, invoice or order information, IP address, device or usage information, payment status, payout information, and business verification details you provide. We do not store full card numbers or CVC codes.

If you use Nimos Pay Links or our Stripe integration, we may receive and store payment-related information from Stripe, such as payment status, transaction identifiers, fee details, payout status, refund status, dispute information, and related metadata, so that Nimos can update invoices, customer balances, reports, and bookkeeping records.

Stripe may process your information according to its own terms and privacy policy. Your use of Stripe payment services, including Stripe Connect, may require you to provide additional information directly to Stripe.

6. Use of Automation and AI

Some features may use automation or AI-assisted tools to help with tasks such as categorization, formatting, or workflow suggestions.

Nimos does not share your business records with third-party AI systems for training purposes without your explicit consent.

7. Data Access and Security

Access to customer data is restricted to authorized personnel and only when reasonably necessary for support, security, payment processing, fraud prevention, system maintenance, or legal compliance.

We use reasonable safeguards such as encryption in transit, secure storage, and access controls. No system is 100% secure, and we cannot guarantee absolute security.

You are responsible for safeguarding your account credentials and for managing access to Customer Personal Data within your organization. You are encouraged to regularly export and back up your important records.

8. Third-Party Service Providers

We use trusted providers such as hosting, email delivery, analytics, and payments. They may access or process data only to perform services for us or on our behalf and are subject to contractual privacy and security obligations where applicable.

9. International Transfers

Your information may be processed in countries other than where you reside. Where required, we use appropriate safeguards for cross-border transfers.

10. Data Retention & Backups

We retain data while your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, enforce agreements, maintain security, support payment processing, handle refunds or chargebacks, prevent fraud, and maintain backup systems.

Upon account deletion, we may delete or de-identify your data, subject to legal, regulatory, contractual, fraud-prevention, payment-processing, backup, and legitimate operational retention requirements.

11. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, export, delete, or restrict certain personal data, or to object to certain processing. You can also turn Optional Product Improvement on or off in Settings → Privacy. Contact support for assistance.

12. Children’s Privacy

The Service is not directed to children. Do not use the Service if you are under the minimum age required by your jurisdiction.

13. Policy Updates

We may update this Policy from time to time. Material changes will be notified via email or in-app notice where appropriate.
